Terms of Service

These Terms of Service explain how you can use PiPExchange, what you can expect from us, and what we expect from you in return. Please read them carefully before using the website or placing any orders.

By accessing or using PiPExchange in any way (including just browsing the site), you agree to these Terms. If you do not agree, you should not use our services.

Section 01

Overview & acceptance of the Terms

This section explains who we are, what these Terms cover, and when they apply.

1.1. Who we are

PiPExchange (“PiPExchange”, “we”, “us” or “our”) operates an online service that lets users convert between e-currencies, cryptocurrencies and selected fiat payment methods. We are a conversion service, not a traditional bank or an investment platform.

When we say “Services” in these Terms, we mean the website, tools, interfaces and order processing features we make available to you on our platform.

1.2. What these Terms cover

These Terms of Service form a binding agreement between you and PiPExchange and govern your use of:

  • our public website and any sub-pages, and
  • any services, tools or APIs we provide for placing and managing exchange orders.

Additional documents may also apply to specific situations, including our Privacy Policy, AML/KYC Policy and Refund Policy. Together, these documents form the entire agreement between you and us for using the Services, unless we explicitly agree otherwise in writing.

1.3. Acceptance of the Terms

You accept these Terms when you do any of the following:

  • browse or use our website,
  • create an account or log in, or
  • submit or pay for an exchange order.

If you use the Services on behalf of a company or another person, you confirm that you are authorised to accept these Terms on their behalf and that they agree to be bound by them.

1.4. Changes to the Terms

We may update these Terms from time to time, for example when we add new features or need to reflect regulatory changes. When we do, we will update the “Last updated” date on this page and, where appropriate, provide additional notice (for example, in your account area or by email).

The version of the Terms that applies to you is the one that is in force at the time you use the Services or place a new order. If you continue to use PiPExchange after an update, we treat that as your acceptance of the revised Terms.

Section 02

Eligibility & scope of the Services

Who can use PiPExchange, and in which situations we may have to restrict access.

2.1. Minimum age and capacity

You may only use the Services if you:

  • are at least 18 years old (or the legal age of majority in your country), and
  • have the legal capacity to enter into a binding contract under the laws that apply to you.

By using PiPExchange, you confirm that these statements are true.

2.2. Geographic and regulatory restrictions

Our Services are not available in all countries or for all users. We may restrict access where:

  • local laws or regulations do not allow us to operate, or
  • you are subject to sanctions, or
  • we have reason to believe that providing Services to you would create an unacceptable risk.

We may update our list of restricted jurisdictions or user categories at any time, with or without prior notice. Trying to access the Services despite such restrictions is a breach of these Terms.

2.3. Personal vs. business use

You may use PiPExchange as an individual or, where explicitly permitted, on behalf of a business or other organisation. In either case, you agree that:

  • you will only use the Services for lawful purposes, and
  • you remain responsible for complying with all laws and tax rules that apply to you.

If you use the Services for business purposes, you confirm that you are properly authorised to bind that business to these Terms and that you will not misrepresent the nature of your activity.

Section 03

Accounts, security & communication

Requirements for account registration, login details and how we keep in touch with you.

3.1. Creating and maintaining your account

To access certain features (for example, higher limits or order history), you may need to create an account. When you do, you agree to:

  • provide true, accurate and complete information, and
  • update it promptly if it changes.

We may refuse, suspend or close any account if we reasonably believe that the registration data is incorrect, incomplete or used to disguise the true identity or purpose of a user.

3.2. Login credentials and security

You are responsible for keeping your login details (such as passwords and any 2FA codes) safe. You must not:

  • share your credentials with anyone, or
  • allow others to access your account on your behalf.

If you suspect that someone else knows your password or has accessed your account, you must:

  • change your password immediately, and
  • contact us as soon as possible so we can help protect your account.

3.3. Communication with you

We will normally contact you using the email address associated with your account or the one you provide when placing an order. You agree to:

  • check that email address regularly, and
  • read and respond to messages that relate to your orders or account.

Some time-sensitive information (such as order status or verification requests) may require a quick response from you. If you ignore these messages, it can affect how and whether we can complete your order.

3.4. Closing or suspending accounts

You may request the closure of your account at any time, provided there are no open orders, disputes or ongoing compliance checks linked to it.

We may suspend, restrict or close your account or access to the Services if we reasonably believe that:

  • you have breached these Terms or any applicable law,
  • your activity may be fraudulent or linked to prohibited conduct, or
  • we are required to do so by a court, regulator or payment partner.

Where allowed by law, we will inform you of the reason for such measures and how to contact us to resolve the situation.

Section 04

Using PiPExchange & placing orders

How exchanges work on our platform and what each side is responsible for.

4.1. Nature of the Services

PiPExchange provides a conversion service. In simple terms:

  • you send one currency from your own wallet or account, and
  • we send another currency to the payout details you provide.

We do not:

  • provide investment, trading or tax advice,
  • offer leveraged trading, futures or speculative products, or
  • guarantee profits or the future value of any currency.

4.2. Creating an order

When you create an order on the platform, you will normally be asked to:

  • select the direction (for example: USDT → PayPal EUR),
  • enter the amount you want to send or receive,
  • review the rate, fees and estimated payout, and
  • provide accurate payout details and your contact email.

By confirming the order, you agree to send the specified amount from your own account within the indicated time frame and according to the payment instructions shown on screen.

4.3. Your responsibilities when placing an order

You are responsible for:

  • ensuring that the payout details (email, address, IBAN, tag/memo, etc.) are correct,
  • sending the exact amount specified in the order, and
  • using the payment instructions (address, QR code, reference) exactly as shown.

Mistakes in payout details or amounts can delay processing and, in some cases, make it impossible to recover funds. Where possible, we will assist you, but we cannot guarantee recovery of payments made to wrong or invalid destinations.

4.4. Order processing, status and expiry

We start processing an order once we can confirm that:

  • your payment has been received in full, and
  • there are no outstanding verification or compliance issues.

Each order may go through several statuses (for example “Created”, “Awaiting payment”, “Payment received”, “In progress”, “Completed”, “On hold”, “Cancelled” or “Expired”). Explanations of these statuses can be found in the FAQ.

Orders can expire automatically if the payment is not received within the specified time or if the market changes in a way that makes the original conditions unworkable. In that case, you may be asked to create a new order under updated terms.

Section 05

Rates, fees, limits & reserves

How prices are formed on PiPExchange and what you see before confirming an order.

5.1. Exchange rates

Our rates are based on current market data plus a margin that covers operating costs, risk and service quality. Because markets move constantly, rates shown on the calculator are only guaranteed for a limited time, which may vary by direction.

Before you confirm an order, you will always see the applicable rate and the estimated amount you will receive. If the rate changes significantly before we receive your payment, we may:

  • offer you an updated payout under the new rate, or
  • cancel the order and suggest creating a new one.

5.2. Fees and third-party charges

We aim to keep our pricing transparent. Our own service fee (if any) is either:

  • included in the rate, or
  • shown clearly as a separate line before you confirm the order.

Please note that third-party providers (such as banks, payment processors or blockchain networks) may charge their own fees that we do not control. These may include:

  • network fees for blockchain transactions,
  • incoming or outgoing bank transfer fees, or
  • fees applied by your e-wallet or card issuer.

Such third-party fees are your responsibility and may affect the final amount you receive beyond what is shown on our side.

5.3. Limits and reserves

For each currency and payment method we maintain internal reserves and apply minimum and maximum limits per order, per direction and per user. These limits help us process orders reliably and manage risk.

For larger transfers, we may ask you to contact us in advance so we can confirm liquidity and, if needed, reserve funds for your order.

Section 06

Payments, chargebacks & refunds

Rules around how you pay us, when refunds are possible, and how disputes with payment providers are handled.

6.1. Paying from your own accounts

Unless we explicitly agree otherwise, you must only pay for orders from accounts or wallets that belong to you. We may request evidence of ownership if needed.

Payments from third-party accounts (for example friends, clients or random senders) may be:

  • delayed while we investigate the source of funds, or
  • returned minus network and processing fees, if we cannot safely accept them.

6.2. Chargebacks and reversals

Attempting a chargeback or reversal after receiving your payout is treated as a serious breach of these Terms and may be considered fraud. In such cases we may:

  • provide all relevant data and documents to the payment provider, bank or platform,
  • seek recovery of the funds (including our costs) through available channels, and
  • block or limit your future access to the Services.

If your payment is reversed for reasons beyond your control (for example a bank error), you must inform us immediately and cooperate so we can resolve the situation fairly.

6.3. Refunds

Because we process live currency exchanges, refunds are not always possible in the original form. Our approach is guided by our dedicated Refund Policy, which explains in more detail when and how refunds may be made.

In general:

  • If we have not yet executed your payout and a refund is appropriate, we may return funds in the original currency, minus any irreversible network or processing costs.
  • Once a payout has been sent to the destination you provided, we typically cannot undo it.

Each case is assessed individually, taking into account technical, legal and compliance constraints.

Section 07

Compliance, AML/KYC & prohibited use

How we meet our legal obligations and what activity is not allowed on PiPExchange.

7.1. AML/KYC requirements

Like other financial-related services, we are required to follow anti-money-laundering (AML) and know-your-customer (KYC) rules. This may include asking you to provide:

  • proof of identity,
  • proof of address, and
  • information about the source of funds for certain transactions.

Our AML/KYC Policy explains this in more detail. By using the Services you agree to cooperate with any reasonable verification requests we may make.

7.2. Prohibited activities

You must not use PiPExchange for any illegal or high-risk purposes. This includes, but is not limited to:

  • money laundering, terrorist financing or sanction evasion,
  • fraud, scams, chargeback abuse or other deceptive practices,
  • payments related to illegal goods or services under applicable law,
  • financing of hacking, malware, ransomware or similar activity,
  • mixing or obfuscation services designed to hide the origin of funds, and
  • any activity that violates the terms of our payment partners or blockchains.

If we reasonably suspect that your use of the Services is linked to such activity, we may refuse to process an order, freeze related funds while we investigate, and report the case to relevant authorities or partners where required.

7.3. Reporting and cooperation

In some situations we may be legally required to:

  • request additional information or documentation from you,
  • delay or block a transaction, or
  • report a transaction or user to a competent authority.

We understand that these checks can be inconvenient. However, they are a necessary part of operating a compliant and sustainable service. We will only ask for information that is reasonably needed and will handle it in line with our Privacy and AML/KYC policies.

Section 08

Risks, warranties & disclaimers

Important information about the risks involved and what we can and cannot promise.

8.1. General risks

Using digital currencies, e-wallets and online payment systems carries inherent risks, including:

  • market volatility and sudden changes in prices,
  • technical issues with blockchains, networks and payment systems,
  • security incidents, hacks or software bugs, and
  • regulatory changes that may affect how services can be provided.

You acknowledge that you understand these risks and that you use PiPExchange at your own discretion.

8.2. No financial or tax advice

Information provided on our website, in emails or in any communication with you is for general information only. It should not be considered financial, investment, legal or tax advice.

You are solely responsible for how you use digital assets and payment systems and for complying with any tax or reporting obligations that apply to you. If you are unsure, you should consult a qualified professional advisor.

8.3. “As is” service and no guarantees

We work hard to keep PiPExchange fast, reliable and secure, but we cannot guarantee that the Services will be:

  • available at all times or free from interruptions,
  • free from errors, delays or inaccuracies, or
  • compatible with every device, browser or network environment.

To the fullest extent permitted by law, the Services are provided on an “as is” and “as available” basis, without any express or implied warranty, including warranties of merchantability, fitness for a particular purpose or non-infringement.

Section 09

Liability, disputes & other provisions

Limits on our liability, how issues are resolved, and some final legal details.

9.1. Limitation of liability

To the extent permitted by law, PiPExchange and its owners, employees and partners will not be liable for:

  • any indirect, incidental, consequential or punitive damages, or
  • any loss of profits, revenue, business opportunities or data,

arising out of or in connection with your use of the Services, even if we have been advised of the possibility of such damages.

Where our liability cannot be excluded entirely, it will be limited, to the fullest extent allowed by law, to the total fees you paid to us for the order or orders directly affected by the event giving rise to the claim.

9.2. Events beyond our control

We are not responsible for delays or failures caused by events outside our reasonable control, including:

  • issues with banks, payment systems or blockchain networks,
  • power outages, hardware or internet failures,
  • acts of government, new regulations or legal restrictions, or
  • natural disasters, wars or large-scale cyber incidents.

In such cases, we will make reasonable efforts to minimise impact on you, but some consequences may be unavoidable.

9.3. How to raise a complaint or dispute

If you believe something has gone wrong with your order or account, please contact us first using the channels listed in the Contact / Support section of the site. In your message, include:

  • your full name,
  • your order number and direction, and
  • a clear description of the issue and what you would like us to do.

We aim to review complaints in a fair and reasonable way and to respond within a practical time frame, taking into account the complexity of the case.

9.4. Governing law and jurisdiction

The laws that govern these Terms, and the courts that have jurisdiction over disputes, may depend on where the company behind PiPExchange is registered and where you are located.

The specific governing law and jurisdiction should be defined in your local legal documentation. Before publishing these Terms as final, you should ask a qualified lawyer in your jurisdiction to review and adapt this section to match your company details and regulatory requirements.

9.5. Entire agreement and languages

These Terms, together with the policies referenced in them, form the entire agreement between you and PiPExchange regarding your use of the Services and supersede any prior understandings on the same subject.

We may provide translations of these Terms for convenience. If there is any inconsistency between the English version and a translation, the English version will generally prevail, unless local law requires otherwise.
